01 / The starting point
The starting point
Almost one in six appointments went unfilled: around 16% no-shows. Each gap meant clinician time paid for but not billed.
Reception was overwhelmed by calls, WhatsApp and the counter while chasing confirmations and rescheduling.
After-hours messages piled up until the next day. Patients who could not get through could simply call another clinic.
This was not an attitude problem. One person cannot handle every channel and chase every appointment at once.
02 / What we built
What we built
Voice and WhatsApp agent answering 24/7, booking, rescheduling and handling common questions.
Automatic reminders before each appointment, connected to replies and confirmations.
Scheduling rules cross-checking several practitioners’ availability to prevent overlaps.
Escalation to reception with full context whenever human judgment is needed.
No change to the existing number: call forwarding reversible in minutes.
03 / The takeaway
The takeaway
The bottleneck was not simply “we are short-staffed at reception.” Repetitive work was competing with patient care. This pattern appears in any calendar-led business: clinics, aesthetics centers, workshops or academies.
